How to Protect Confidential PDF Documents Before Sharing
Why PDF Protection Matters
A PDF without protection is a fully editable, copyable, printable document once it reaches the recipient's device. For most everyday documents, this is fine. But for confidential contracts, financial statements, intellectual property, medical records, or legally sensitive documents, sending an unprotected PDF is a significant risk.
PDF protection doesn't mean the document is invulnerable — it means you've set a clear boundary around what recipients can do with the file, and you've added a meaningful technical barrier against casual misuse.
Type 1: Open Password (Document Password)
An open password (also called a document open password) prevents anyone without the password from opening the file at all. This is the most commonly needed protection level.
When to use it:
- Sending salary details or HR documents to specific employees
- Sharing financial reports with selected stakeholders
- Distributing exam papers before the exam time
- Sending client deliverables that should only be accessible to the named client

Type 2: Permissions Password (Owner Password)

Best Practices for Secure PDF Sharing

Limitations of PDF Password Protection
It's important to be honest about what PDF passwords can and cannot do:
- Open passwords are strong when using AES-256 encryption (the modern standard). They effectively prevent access without the password.
